Third Party Proxy Accounts: Quick Start Guide

Students can designate selected Friends and Family as Third Party Proxies. Depending on the permissions granted by the student, Third Parties are able to see selected information from the student’s account, make payments on behalf of the student, etc. 

Please Note: Third Party Proxies are not able to see or interact with tax documents or financial aid details. This information is available only to students.

The Hub (for information and transactions related to Spring 2024)

Carleton is in the process of transitioning from The Hub to Workday. For information about Spring Term classes for 2024, or to pay bills associated with the 2023-2024 school year, please refer to the instructions for The Hub. For things related to Fall 2024, please refer to the instructions for Workday below.

Instructions for proxy access to The Hub for Spring 2024 (click to show/hide):

Set Up Instructions

The student must start the proxy account creation process on the hub under "View/Add Proxy Access". The student can select "Add a Proxy" and then "Add Another User". There the contact information and access privileges can be inputted. After the student does this, the rest of these instructions are for the proxy:

  1. You'll receive an email from Carleton's Business Office - businessoffice @ carleton.edu. It's a generic notice that says you've been granted access to the student's information.
  2. A second email is sent from the account provisioning system - fimservice @ carleton.edu. It'll contain your username and the link to the page where you will set their password. It may take up to 3 business days for this email to arrive.
  3. When resetting the password with the link, enter your username (from the fimservice email) and click Search button.
  4. Check your email for a message from Forgotten Password with a security code.
  5. Back on the reset password page, you can paste the security code in and click Check Code.
  6.  You'll receive a confirmation and then be lead to a page to change your password.

Sign-in Instructions

  1. Go to parenthub.carleton.edu
  2. Enter your username and password.
  3. You'll see a Person Proxy screen where you'll be asked which account you'd like to see. Select the student's name.
Note: If the proxy did not select their student account but instead just selected themselves, the page will look quite empty. To switch over to their student's account information, the proxy should click on their username at the top-right of the screen and select Change Proxy User from the pulldown.

You will be able to see only the things that their student has granted them access to. If something seems missing, you will need to discuss that with your student, as we have no control over what access is granted.


Workday for Third Party Proxies

Step 1: Students Initiate the Process

Only a student can initiate this process. Workday does not allow any other individual to initiate the process on the student's behalf as a security measure to protect the student's FERPA rights.

Students can also access written instructions within Workday. Third Parties can access copies of these written instructions outside of Workday.

Step 2: Third Party Proxies Set Up Accounts

After the student has completed the steps above, Third Party Proxies can begin accessing Workday information.

Troubleshooting Third Party Account Access

Additional Information

  • Workday uses your email address to identify your account.
    • If you have multiple students who each enter the same email address when they list you as a third party proxy, each of those students' information will all appear within your same Third Party account. When you access a function in either the Finances for Third Party or the Academics for Third Party apps, you will be prompted to select which student's information to view at that time.
    • If you have multiple email addresses it is possible to have multiple Workday accounts, one for each email address that your student(s) enter into the system. Be sure to tell your student if you have a preferred email address they should enter.
    • If multiple people use the same shared email address, the first person the student entered when submitting that email address will be the name on the shared account associated with that email address.
  • If you need to change the email address associated with your account, your student should make that change for you in their Friends and Family list.
