Third Party Proxy: Set Up Your Third Party Workday Account For The First Time

Students can designate selected Friends and Family as Third Party Proxies. Depending on the permissions granted by the student, Third Parties are able to see selected information from the student’s account, make payments on behalf of the student, etc. The first time you sign in, you will be prompted to set up your account.

Signing Into Workday For The First Time As A Third Party

Third Party Access to Workday does not work from the Workday Mobile App. Please use a browser (such as Google Chrome) on your phone or computer to access Workday as a Third Party

  1. You will receive three emails from workday@carleton.edu, each sent to the email address that your student submitted.
    If you do not receive these emails, check your Spam folder and check with your student to confirm that they checked the "Is Third Party User" checkbox, added your active email address, and went through the Manage Permissions for Third Party steps.

    • One email will inform you that a student has designated you as a third party. It will provide your username and the link you can use to access Workday.

    • The second email will inform you of additional login information

    • The third email will inform you that if you are a current Carleton employee, you have the option link your third party account with your regular Carleton account (the link in this email to view notification details will not work properly)

  2. Follow the instructions from the first two emails to access Workday for Affiliates (link opens in a new window) and log in
    NOTE: This is not the same URL that current employees and students use.

  3. You will be prompted to change your password.
    NOTE: Passwords must be 15 characters long.

  4. You will be prompted to configure your multifactor authentication. You should do this as soon as possible to avoid being locked out of your account. Choose to use an email address or an authenticator app to confirm your identity when you log in. (For more on these options, see our guide on Third Party Proxy Multi-Factor Authentication.)
    NOTE: Emails may take a few minutes to arrive in your inbox. 

    • If you have a carleton.edu email address, and if your student entered that email address when setting up your access, you will not be able to use the email option for multi-factor authentication. Instead, either use the Authenticator App option or else log in without setting up MFA and proceed immediately to the steps to link your Third Party and your Employee accounts (see instructions below)

  5. In the Awaiting Your Action box in the middle of your screen you may see a Manage Permissions task. Open this task, review the permissions your student has given you, and then click the Approve button.
    NOTE: If these permissions are not correct, click the Approve button first and then work with your student to adjust the permissions. Your student will not be able to adjust your permissions until after you have clicked Approve.

  6. Click on the Global Navigation Menu (the 3-line menu at the top left of the screen). There you should see two apps: Finances for Third Party, and Academics for Third Party. These are the apps you'll use to access your student's information.

    • If you do not see these two apps, click the Add Apps button at the bottom of the menu, search for Third Party, and then click the option to add these two apps to your menu.

6. Additional instructions for Third Parties who are also Carleton Employees (click to show/hide):

If you are a Carleton employee, complete the steps above that apply to all third parties. Then you have the OPTION to link your Third Party account and your regular Carleton account. This will mean that you can access the Third party apps by logging into your regular Carleton Workday account. This option cannot be undone.

If you wish to link your accounts:

  1. Log into the Workday for Affiliates (link opens in a new window)

  2. In the Global Search Box, search for Link Existing Worker Account.

  3. Type in your name, Carleton email address, and work phone number and click OK.

  4. Workday will prompt you to approve your request to link your accounts. Click OK.

  5. Workday will confirm that the task is complete. Click Done.

  6. Log out of this Third Party version of Workday (click your Profile icon and select Log Out)

  7. Log into Workday using your regular Carleton Workday link and your regular Carleton username and password.

  8. You will see a notification in your Notifications bell telling you that your Friends and Family Account has been Linked. This will tell you to find your Active Persons Profile Card, but NO SUCH CARD EXISTS. INSTEAD, please use the Global Navigation Menu to access the Finances for Third Party and/or Academics for Third Party apps.
