A softphone functions as a phone, but operates on your computer without a physical or “hard” deskphone.
ITS is in the process of transitioning Carleton's softphone service from Zulu Softphone to Sangoma Softphone. It is expected that this transition will happen in late 2025-early 2026. This guide will assist in transitioning from the Zulu softphone to the Sangoma softphone.
Logging into the Sangoma Softphone Web Client
- If you are working off campus, make sure you are logged into the VPN.
- Open a tab on your preferred browser and navigate to phone.sangoma.com.
- Enter carlpbx.its.carleton.edu:6443 in the Host box.
- Use your Carleton Username and password to log in.
First Login Only
The first time you use the Sangoma Web Client, you will need to activate you Microphone settings. To do this:
- Click on your initials at the top right corner of the screen and select Settings in the drop down menu.

- Scroll down to the Audio Setting and make sure the Microphone, Speaker, and Ringer are set to Default.

Getting to know your Sangoma softphone

- Keypad
- Call button
- Mute/Unmute
- Volume
- Keypad View
- Call Log
- Voicemail (all voicemail is sent to your Carleton email and will not be available in Sangoma)
- Parked Calls (this option is not currently available)
Using your Sangoma phone
To place a call on campus (click to show/hide):
- Open the Keypad (5).
- Dial the 4 digit extension and press to Call button (2) to place the call.
To place an off-campus call (click to show/hide):
- Dial all 10 digits (area code + exchange + XXXX) ex. 8-507-786-3xxx or 8-952-xxx-xxxx. An 8 is needed for an outside line.
- Long distance calls requires a 1 (this is not always required for cell phones).
- International calls require the country code. Dial 011 followed by the country code and then phone number
To transfer a call (click to show/hide):
- While on the call, select the Call Transfer icon.

- On the Keypad (1), enter the extension to transfer to.
- Click the Call Transfer icon again to complete the transfer.
To change your status (click to show/hide):

Click on your name in the upper right hand corner of the screen and select from the drop down options (Away, Do Not Disturb, Extended Away, etc.).
To forward your extension (click to show/hide):
NOTE: You can forward to a cell phone or other number off-campus; however, the called ID will look different when you receive a forwarded call.
- On the Keypad (1), enter *96 and press the Call Button (2).
- Enter the number to forward to followed by #, either 8-XXXX# or XXXXXXXXXX#.
- To cancel the forward, enter *96 again and press the Call Button (2).
To toggle Do Not Disturb (DND) mode (click to show/hide):
- On the Keypad (1), enter *76 and press the Call Button (2). The system will confirm that you have turned DND on or off.
- To cancel the forward: *76 and press the Call Button (2).
** Please note that the "Forgot Password" does not work on the Sangoma softphone login page. The username and password is your normal Carleton password used to log into your computer and all related applications
Using Voicemail
To access voicemail and settings (click to show/hide):
- Dial your phone number in Sangoma or another phone. When you begin to hear your voicemail message Press * .
- Enter your voicemail password and # (initially this is your phone extension). The system will make you change your password from your phone extension for security reasons. Follow the prompts if it is asking you to change your password.
- Press 0 (zero) to go to voicemail settings.
To set your voicemail message (click to show/hide):
- Access voicemail settings (see above).
- Listen to the prompts and choose the message you would like to set.
- Unavailable Message - the main message that plays if the phone rings and you don't answer, or if you are on another call.
- Busy Message - the message that plays when you forward calls to voicemail using Do Not Disturb (This is different from the Temporary Message which is used for vacation type absences)
- Temporary Message - this message should be used if you plan to be out of the office or on vacation. Once you record a temporary message, it will automatically be the default greeting for your voicemail.
- After recording, press * to return to the main menu.
To deactivate a temporary greeting (click to show/hide):
- Access voicemail settings (see above).
- Listen to the prompts and choose 4 for Temporary Message
- Listen to the prompts and It will say press 1 to record your temporary greeting or Press 2 to erase your temporary greeting
** If you have forgotten your password, submit a Telecom Issue ticket to request a password reset.
Voicemail Messages
Voicemail messages will be sent to your email and are not stored by your phone or softphone.
The subject line will read “New voicemail on your Carleton number” and there will be a sound file (.wav format) attached to the message. The email body will contain the name of the caller (if available), the phone number they called from, the length of the message, and the date and time when it was left.
Click on the .wav file to listen to the message. You can also download and save the file.
