By law, any student can elect to place a FERPA privacy flag on their record. While the student is enrolled here, they manage this privacy flag in Workday, and the information flows to Slate overnight. If the student elects to maintain their privacy flag upon graduation, then we begin managing the privacy flag manually in Slate at that point.
BE AWARE: We cannot release any information about people with FERPA watch flags in place, including and especially whether that person attended college here or not.
Current Student Slate Processes
Each step in this process can take anywhere from a few minutes to a couple of hours depending on how many other processes Slate is trying to accomplish at the same time.
- Each evening, beginning at 8pm, a feed from Workday updates each student's Slate record, setting a hidden Workday FERPA indicator to Yes or No.
- Slate then evaluates all of the updated records, and applies the FERPA Watch Flag to records where the Record Type is Current Student and the Workday FERPA indicator is set to Yes.
- A Retention Policy in Slate runs during the overnight window (2am-4am) to evaluate any records for Current Students that previously had a FERPA Watch Flag applied but where the student has elected to remove that privacy flag in Workday. This retention policy deletes any of those lingering Watch Flags it finds.
- NOTE: If the initial steps of the process take longer than usual, it is possible for a FERPA watch flag to linger for a full day after a student has removed it in Workday and before Slate removes it the next night by the retention policy. Queries related to parents take this into account by relying on the Workday indicator from step 1 rather than on the resulting Watch Flag from step 2.
Alumni Slate Processes
If a student elects to maintain their FERPA privacy flag after becoming an alum, the Workday feed and automated processes described above will no longer run. Instead, we maintain their Watch Flag manually according their wishes.
If an alum requests to remove the watch flag:
- On the Alum's record, click on the FERPA Watch Flag above the tabs of their record
- Click Delete
- Refresh your browser window to see the flag removed
