Reusing the Same Meet URL/Meeting Link:
Google Meet links can be reused for future meetings depending on how they were originally created.
*Note: The meet URL remains consistent for every occurrence unless it's manually changed. The meet link does not expire with time, BUT if no one uses the link "for an extended period of time," Google can eventually deactivate it. It is unclear what constitutes "an extended period of time."

Set Up a Recurring Meeting
For meetings that occur at regular days and times, create a repeating meeting. Select the Does not repeat drop-down menu and choose the appropriate time(s).

Reuse a Meet Link
If you scheduled the meeting using Google Calendar, the link remains active for the recurring series or until the scheduled event lifecycle ends.
- Select the existing calendar event that contains the meeting link.
- Copy the meeting link or select Join with Google Meet.

Instant meeting links created directly from the Google Meet homepage or a chat window expire shortly after the meeting ends. To ensure you can reuse an instant link, save it immediately.
- Copy the provided meeting link and save it to a document, email, or browser bookmark.
- Enter the saved link into your browser address bar whenever you want to reuse it.
Reuse a Meet Link with Different Hosts
Assign Co-Hosts in Google Calendar
If you are using Google Calendar and your meeting(s) involves only Carleton users, you can grant full hosting privileges to other attendees before the meetings even start. Anyone listed as a co-host can open the link, start the meeting, let waiting guests in, and use all host features, even if you are completely absent.
- Edit the calendar series. Open Google Calendar, click on your recurring event, and click the Edit event (pencil icon). Make sure you select "All events" if prompted, so it applies to the whole series.
- Open Video Call Options. Next to the "Join with Google Meet" button, click the Gear icon (Video call options).

- Add Co-hosts. In the Settings menu, click on Guests. Look for the Co-hosts section and type in the email addresses of the people who need to run the meetings.

- Save the changes. Click Save in the settings panel, and then click Save on the main Calendar event.
Turn on Open Access
If the meeting is not associated with a Google Calendar or you have non-Carleton users who need to host, you can change the settings so that anyone can join without a host being present. With Open Access, anyone with the link can join automatically without having to "knock" or be admitted. Only do this if your link is shared privately and not posted publicly on the web.
- Click the Host Controls (shield icon) in the bottom right corner.
- Look for Meeting Access (sometimes labeled Quick Access).
- Set it to Open (or toggle Quick Access ON).
Use a Google Workspace Shared Calendar
If a team rotates who hosts a weekly meeting, create a specific Shared Google Calendar for the team.
- Anyone on the team can create or edit the recurring event.
- Because the event belongs to the calendar and not a single person, whoever joins the meeting first from that team automatically inherits the Host role for that specific session.
