Carleton College is a Google Campus. As such, Google Meet is our preferred video conferencing tool. There are a number of Google Meet features that can help faculty and staff manage effective online-events and classes.
Initiating a Meeting:
There are multiple ways to initiate a Google Meet Meeting. As a host, after signing into the Google universe, you can:
- Click on the Google Apps icon in the top right, choose the Google Meet app, click New Meeting, and choose to either start an Instant Meeting or Schedule in Google Calendar. [Image below.]

Schedule directly in Google Calendar by choosing when you create a meeting and add the Google Meet option. Don’t forget to double check your Video Call Options by clicking the gear icon. [Image below.]

Meeting Privacy:
To avoid unwanted visitors joining your meetings, Carleton recommends that all users refrain from posting any meeting URL on a publicly accessible website. Instead, we suggest making your links accessible

by inviting attendees through your Google Calendar invites, or
-
by posting the meeting information on a password-protected website, such as a Moodle Course page, or
-
by sharing meeting information with specific attendees via email
Google Meet users should also be aware of their meeting settings, which can be adjusted either

when Scheduling a meeting by clicking the gear “video call options” icon, or
-
during a meeting by clicking the “host controls” lock icon. [Image below.]

Default Settings:
Below are Google Meet’s three “Meeting Access” options. By default, Carleton’s meetings will allow “Trusted” attendees to join the meeting.

“Open” means absolutely anyone, as long as they have the meeting link or code, can click and join.

“Trusted” means anyone…

signed in with a Carleton email address, or
-
signed in to any gmail account, or
-
who you’ve invited via your Google Calendar invite, can click and join.

Note: there is the additional checkbox underneath “Trusted” that allows non-Carls & non-gmail users to join, but they’ll have to first click to join, and then be admitted by the host.

“Restricted” means only people explicitly invited by the host through the Google Calendar. All others who have the link will first have to click to join, and then be admitted by the host.
